Case study: Automate application processing - from CV to interview in a single IA workflow

This specialized recruitment firm supports SMEs and ETIs in their search for qualified profiles, often rare or technical: project managers, sales executives, finance or engineering profiles.

Every week, the consultants receive applications via several channels:

  • Forms on the site

  • Unsolicited applications

  • Job boards and LinkedIn

  • Partners or networks

The volume is large... but the quality is highly variable.
The consultants spent hours sorting through CVsWithout being able to concentrate on what really counts: the human assessment, the interview and the follow-up.

Context

We work as a team on a human scale, using simple but effective tools.
He was already using Monday.com as CRM and ClickUp as project management tools for tracking projects and assignments.


The aim was to automate everything that could be automated:

  • Centralize applications

  • Understanding and scoring them

  • Alert recruiters if a profile stands out from the crowd

  • Reduce response times

  • Manual sorting too slow and not prioritized

  • Risk of missing out on interesting profiles that are poorly presented

  • Low-value tasks (answers, archiving, file creation)

  • Lack of clear, visual tracking of candidates

What we have put in place

 1. Centralization of applications

Each application received by form or email is automatically registered:

  • The CV is stored in a Google Drive folder

  • A task is created in ClickUpin the "Incoming applications" list

 2. AI analysis + automatic scoring

The CV is read by OpenAI to generate :

  • A clear summary of your profile

  • Strengths and weaknesses

  • A score from 1 to 5 according to the firm's criteria (target position, experience, sector, location...)

 3. ClickUp and Monday.com enrichment

The ClickUp candidate file is automatically enriched with :

  • The score

  • The IA summary

  • Initial status ("To be processed")

  • Visual priority (color/tag according to score)

  • Link to CV Drive

  • A processing deadline (48 hours max)

 4. Automatic recruiter ping (if profile > 4)

If a candidate is marked 4 or 5 :

  • An alert is automatically sent to Slack or by email to the relevant recruiter

  • The message includes a quick summary + link to the ClickUp file

 Result: the recruiter is informed in real time as soon as a good profile enters.

Monday.com is then updated.

 5. Automatic appointment scheduling

If the recruiter validates the form :

  • He simply clicks on "contact

  • A scenario is triggered to send an email to the candidate with the recruiter's calendly link.

  • Appointment added to Google Calendar automatically if confirmed
